Event Terms
- Tickets & entry: Each person needs their own free ticket. Present your QR code at entry; duplicates won’t be accepted.
- Capacity/time slots: Please arrive early and note entry may be queued
- Conduct & safety: Follow staff instructions; abusive behaviour or prohibited items are not permitted. TUS may refuse/withdraw entry to keep attendees safe.
- Accessibility: Tell us any access needs during booking; we’ll make reasonable adjustments.
- Under-16s: A parent/guardian must register and accompany under-16s.
- Changes/cancellation: Schedules/locations may change or be cancelled for operational/safety reasons. We’ll notify registrants where possible.
- Photography/filming: We may capture general/crowd images for reporting and promotion. Tell staff at check-in if you prefer not to appear. We seek explicit consent for identifiable close-ups, especially of minors.

What we collect: Attendee details needed to run the event (e.g., name, email, mobile, ticket type/day) and any answers you provide at checkout (e.g., school, area of interest).
Why we use your data (purposes):
- Event operations: manage registrations, issue tickets, send event updates, and check you in (QR scan).
- Safety & planning: manage capacity, queueing, and on-site operations.
- Marketing (optional): if you choose to opt in, we’ll send updates about courses, future events, and key deadlines.
Legal basis:
Event operations: Contract / legitimate interests (running a booked event safely and efficiently).
Marketing:
- Consent (separate, optional tick boxes for email/SMS/WhatsApp; you can withdraw any time).
- Under-16s: In Ireland, the digital age of consent is 16. A parent/guardian must register under-16s. Marketing consent for under-16s must come from a parent/guardian.
- Photography/filming: We may capture general/crowd images for reporting and promotion under legitimate interests. Tell staff at check-in if you prefer not to appear. We seek explicit consent for identifiable close-ups, especially of minors.
- Who processes your data: Ticket Tailor provides our ticketing platform and acts as our data processor. We also use trusted providers to send emails/SMS and to operate check-in systems (only for the purposes above).
- Where data is stored/handled: We store attendee details in our CRM (HubSpot) to manage communications about this event and, if you opt in, ongoing updates about courses, events and key deadlines. We use Ticket Tailor to manage ticketing and check-in (QR scan). Both providers act as data processors to TUS and only process data for these purposes under our instructions. Where services operate outside the EEA, we use appropriate safeguards (e.g., Standard Contractual Clauses).
How long we keep it:
- Event records: up to 12 months after the event for reporting/audit.
- Marketing contacts: until you withdraw consent or we no longer need the data.
Your rights: You can request access, correction, deletion, restriction, objection, and data portability. To exercise your rights, contact datacompliance@tus.ie. You can also complain to the Data Protection Commission.
